Terms of service
Version 1.2 (2026-10-21). Accepted electronically by the unit's administrator in the panel.
1. General provisions
These terms set the rules for using the RespondGrid service: the website respondgrid.com and the RespondGrid apps for Android and iPhone (the "Service"). The service provider is Maksymilian.org Maksymilian Furtak, Konopnica 95c, 21-030 Motycz, tax number (NIP) 7133092677 (the "Provider"). Contact: [email protected].
A "User" is a person using the Service with or without an account. An "Organisation" is a unit or group (e.g. a volunteer fire brigade, a rescue group) registered in the Service. A "Unit administrator" is a User who has the administrator role of an Organisation in the Service and can act on its behalf.
The services are provided electronically. The terms are available free of charge at /terms in a form that can be downloaded, saved and reproduced.
2. Scope of the services, free and paid parts
Free of charge, without a time limit: the public map and unit pages, a User account, the Organisation's panel and the keeping of its records (the roster, qualifications and deadlines, the equipment list, callout records, the Board).
Paid: alerting, members' availability and the device modes (the station board, the vehicle, the trigger phone). Paid services are offered to Organisations, not to consumers.
The Provider may develop the Service and change its features; a change that reduces the features of a paid package during the period it was paid for requires the Organisation's consent or a proportional refund.
3. Technical requirements
Using the Service needs a current browser with JavaScript, or an Android phone running 8.0 or later, or an iPhone running iOS 16 or later, access to the internet and an e-mail address. Alerting requires permission for notifications on the phone and a working internet connection.
4. User account
An account is created with an e-mail address and a full name, or by signing in with a Google or Apple account. The User gives true data, protects the sign-in details and is responsible for actions taken on their account. An account can be deleted at any time in the app or the panel.
The Provider may block an account that breaches the terms, after a prior call to stop, or without one where the breach endangers the security of the Service or of other people.
5. Organisations and administrators
The Organisation's panel is started and run by a person authorised to represent it. The Provider considers the application to start a panel; an approved applicant becomes the Unit administrator.
The Unit administrator is responsible for having a legal basis to enter members' data into the Service, for assigning roles, and for accepting on behalf of the Organisation the data processing agreement available at /dpa and these terms. The members' data entered in the panel is processed by the Organisation as the controller and by the Provider on its behalf as the processor.
6. Trial period, fees and billing
Every Organisation is entitled to one free trial of the paid services, which lasts 3 months as standard; the Provider may grant a longer one. The trial covers the full functionality.
After the trial the paid services are provided in annual billing periods for a fee that depends on the number of people with an account in the Organisation (people who have an account and use the app; roster entries without an account and device accounts are not counted). Price list (gross prices):
- up to 10 people: PLN 50 gross per year
- up to 20 people: PLN 70 gross per year
- up to 30 people: PLN 90 gross per year
- up to 60 people: PLN 120 gross per year
- up to 120 people: PLN 180 gross per year
- more than 120 people: PLN 240 gross per year
A change of package during a billing period is settled in proportion to the remaining time. The Provider issues an invoice to the Organisation (name, address, tax number); payment is by bank transfer to the account given on the invoice. Paid services are not offered to consumers.
If the fee for the next period is not paid, the paid services (alerting, availability, device modes) are switched off when the paid period ends, and the free services continue unchanged. The Organisation's data is not deleted for that reason.
7. Alerting and its limits
Alerting in the Service supplements, and does not replace, dispatch systems and official notification procedures. Delivery of a notification depends on factors outside the Provider's control: the phone network and the internet, the phone's settings and power-saving modes, the permissions given to the app, Google and Apple services, and the system the report comes from.
The Provider takes due care for the Service to run without interruption but does not guarantee a particular delivery time of a notification or availability without breaks; it tries to do technical work in the quietest hours. The User is responsible for configuring their phone according to the hints in the app.
8. Rules of use and content
It is forbidden to: post unlawful or misleading content, raise false alarms, impersonate other people or Organisations, circumvent security, scrape members' personal data automatically, or use the Service contrary to its purpose.
Proposals to change units' data on public pages are moderated; the Provider may reject or remove content that breaches the terms. A User who posts photos or text grants the Provider a non-exclusive, free licence to display them in the Service to the extent needed to provide the services and declares having the rights to them.
9. Personal data
The rules of processing personal data are described in the privacy policy (/privacy). Organisations using the Service accept the data processing agreement (/dpa).
10. Liability
The Provider's liability to an Organisation, except for damage caused intentionally, is limited to the annual fee for the Service under the current price list (also during the trial and for free services). Liability to Users of the free services is limited to damage caused intentionally or by gross negligence, to the extent permitted by law.
The above does not limit consumers' rights under provisions that cannot be excluded, nor the rights of data subjects.
11. Complaints
Complaints about the operation of the Service can be sent to [email protected], with details identifying the account or Organisation and a description of the problem. The Provider replies within 14 days of receiving it.
12. Ending use
A User may delete their account at any time, and an Organisation may stop using the Service and the paid services; no reason is needed. The fee for a billing period that has begun is not refunded, except in the cases provided in the data processing agreement (an objection to a sub-processor) and a change to a lower package under point 6.
After use ends the Provider deletes or returns data under the data processing agreement and the privacy policy.
13. Changes to the terms
The Provider may change the terms for important reasons (a change of law, of features or of the price list, security). It announces a change at /terms and by a message to Unit administrators at least 30 days in advance; the change needs a new acceptance by the Unit administrator. If an Organisation does not agree with the change, it may stop using the Service at no cost. This version: 1.2 (2026-10-21).
14. Final provisions
The terms are governed by Polish law. Disputes with Organisations that are businesses are decided by the court competent for the Provider's seat; disputes with consumers by the court competent under the general rules. If the language versions differ, the Polish one prevails.
The terms apply from the date stated in their version; a User who uses the Service after they are published agrees to their application.
